Career Fair Logistics and FAQs

Registration

Most career fair registrations include a 6-foot table, chairs, wireless Internet, power, tablecloth, breakfast, lunch, and parking permit. Check the logistics email sent before the career fair for exact details.

Agenda

Check-in begins 1.5 to 2 hours before start time. We ask that you do not break down early. This will give each student an equal opportunity to speak with all companies in attendance.

To ensure that you are receiving our email communication about upcoming events, please check the following:

  • Check your spam and junk folders to ensure that emails are not being filtered out.
  • Check with your IT department and ask them to whitelist Handshake or check for quarantined emails.
  • Add  handshake@m.joinhandshake.com to your email contacts or address book.

Shipping Career Fair Materials

If you choose to ship your materials, they will be delivered to your career fair table on the morning of the fair. Packages can begin arriving a week beforePlease check your confirmation letter for the address to ship your materials.

Please label each package on the outside with your organization’s name so that we can deliver the boxes to your table. You must package and call in your shipments for return after the fair. 

Career Services will facilitate shipping your packages from the event. During the career fair, they will arrange to have your packages shipped via FedEx or UPS. Please include the completed return shipping label(s). All packages will be picked up by 5:00 p.m. on the career fair day. We are not responsible for any lost or damaged materials.

Provide all the names of those individuals who will be representing your organization at the career fair, by signing into Handshake and adding your recruiters to your event registration a week before the event. This will allow for a more convenient check-in for your organization and accurate guest count.

parking

Directions to the event parking will be sent in the logistics email ahead of the event. 

Parking on campus is extremely limited. We ask that organizations carpool when possible. Be prepared, as leaving at the end of the day can be a process. We will continue to work with Parking and Transportation Services to make this as easy and quick as possible. If you need motorcycle or ADA-accessible parking, please notify us at least two weeks before the event.

cancellations

Career fair fees will be refunded in full for cancellations received within 24 hours before the fair. No refunds will be issued for same-day or post-event cancellations. If a registrant fails to attend the fair, the career fair fee will not be refunded but may be credited toward a future career fair dependent upon the circumstances.

If you have any symptoms of COVID-19 or feel ill in any way, we ask that you please stay home. If you are unable to attend the career fair due to illness and have paid an event registration fee, Career Services will gladly issue your company a credit for a future event.

after the fair

You will be given a survey to assess your experience at the fair. Please be sure to complete it. The more candid the answers, the better we will be able to improve our next career and internship fair.

Follow up with students who have expressed interest in your company. Employers who follow up with exceptional candidates early and often usually recruit the very best WVU has to offer.


Student Registration Note

Students are not required to pre-register for this event. The number of registered students indicated within Handshake will not reflect the number of students attending the career fair.
